Rocket Matter

We have worked with Rocket Matter on the trust accounting side of personal injury files - the Trust Ledger & Adjustments, Trust Holds, and Matter Ledger tabs that actually drive a disbursement, not just the case management layer around them. A firm here runs Rocket Matter's own built-in Legal Trust Accounting alongside a separate QuickBooks Online integration for the broader firm ledger.

Integration with Rocket Matter Legal Trust Accounting

Rocket Matter and its Legal Trust Accounting work well together, and since it is built natively into the same platform, there is no export step or separate login involved. Trust and operating accounts are created automatically, and a trust deposit or transfer sits on the same matter record as billing rather than in a second system that needs cross-checking. Evergreen retainers generate a replenishment request automatically once a trust balance falls below a set threshold, and Trust Holds let a firm lock a client's trust balance so an invoice can't pull from it.

We have seen firms benefit from this close fit between matter data and accounting, since a trust deposit or transfer never needs to be re-entered anywhere. Our role is to make sure the trust and payment workflows are set up correctly on a firm's actual matter data, so the check writing and accounting process stays clean.

Integration with QuickBooks Online

Rocket Matter and QuickBooks Online can work well together for firms handling the broader firm ledger externally, but the integration needs proper review. The connection is a strict one-way sync: data moves from Rocket Matter into QuickBooks only, and nothing should ever be deleted directly in QuickBooks once it's arrived, since any correction has to be made on the Rocket Matter side and re-synced.

There are a few practical limitations in the Rocket Matter-QuickBooks workflow. Our role is to identify these issues early, review the data, and make sure the check-writing and accounting process remains clean.

Our Understanding of Rocket Matter

The central case record holds client, contact, and billing detail together as the starting point before any trust activity is created against it, with payee records for clients and related parties verified against supporting documentation before a disbursement goes out.

The running financial history of a specific matter, including trust and operating activity, gets reviewed before assuming a balance is accurate, and trust deposits, withdrawals, and adjustments get tracked per client, with multiple trust accounts on one client's matters managed and transferred directly rather than requiring an external bank step.

Evergreen retainers are configured per matter with a minimum threshold, generating a replenishment request automatically once the balance drops below it, and part of a trust balance can be reserved so it can't be paid out through an invoice, protecting funds earmarked for a disputed lien or an uncleared cost until it's actually ready to move.

Trust balance, collections, productivity, and receivable reporting all get pulled, filterable by client, matter, or time period, for month-end review and audit readiness.

Where account categories get mapped to a connected external accounting system, that mapping gets treated as a one-time decision that has to be right from the start, since it's difficult to correct later without adjusting it back on the external system's side first.

Why This Matters

In PI accounting, Rocket Matter and Rocket Matter Legal Trust Accounting or QuickBooks should not be treated as separate systems. Rocket Matter carries the matter information, trust detail, and billing history. Rocket Matter Legal Trust Accounting or QuickBooks carries the accounting records, checks, bank reconciliation, and trust liability.
